Procedures for Documenting Faculty Qualifications

The School of Computing, Data Sciences & Physics (CDSP) must keep records that document the qualifications of each instructional faculty member to teach at the undergraduate and/or graduate level.
All CDSP faculty shall provide the Associate Dean for Finance & Administration with a copy of their final graduate school transcript if they have not submitted it previously to the A&S Dean’s Office. Newly hired faculty will provide their final graduate school transcript prior to their first teaching assignment. The document must be official and sent from the faculty member’s graduate institution or a clearinghouse. The Associate Dean for Finance & Administration will initiate a Dean’s Office review and upload the approved transcript to the Banner Document Management (BDM) system (or the equivalent in Workday, should Banner be replaced).
The Dean’s Office will then notify the Office of Institutional Accreditation and Effectiveness that the new faculty member’s transcript record has been reviewed and recorded.
Faculty members who cannot adequately document their teaching qualifications to meet the requirements of W&M’s accrediting agency and those established by the Faculty Credentials & Qualifications Policy will be removed from the teaching roster and may be subject to further personnel action if they are unable to fulfill their job responsibilities.
The requirements described above apply to all faculty members (including postdocs) who are assigned to teach, independent of their appointment category (c.f., Article I, Sec. I of the CDSP Bylaws for the list of appointment categories).
